Deposit & Cancellation Policy
At Smile Workshop we may require a deposit when you book an appointment for major and/or specialty treatment. The deposit amount will be deducted from your final balance for the relevant treatment at your next visit. We understand that things sometimes come up and that you may need to make changes to your scheduled appointment. We will always be as flexible as possible with our patients – that is why the deposit will be refunded if you subsequently cancel the appointment with more than 48 hours advance notice.
However, we reserve the right to retain your deposit in case of late cancellations (any cancellation with less than a 48-hour notice).
We understand this may seem like a strict policy, but quite simply if you cancel with less than 48 hours’ notice it is very difficult for us to rebook your appointment slot or slots for such unique major and/or specialty treatments. This means that we are unlikely to treat another patient in your place. This also means that our team will not be treating any patients, but we will still have to compensate our team and all of our operating expenses. Because major and/or specialty treatment providers and expenses are expensive, a late cancellation will put us significantly out of pocket. Not to mention that our lovely patients just like you will have had to wait even longer than needed to for an appointment.
We will always try to be sensitive to personal circumstances in the event of late cancellations.
NO SHOW POLICY
A “no show” is an appointment that was not canceled with enough advance notice (48-hours prior). Not showing for your scheduled appointment inconveniences other patients who need dental care. A no show for a scheduled appointment will result in a fee of $25 for every appointment missed.
In an effort to serve our patients in a timely manner, we ask that you arrive 10 – 15 minutes early for your scheduled appointment. In the event you are running late, please call the office. If you are more than 15 minutes late to your scheduled appointment, you may be asked to reschedule.
CANCELLATION OF AN APPOINTMENT
In order to be respectful of other patients’ needs, please be courteous and call our office promptly if you are unable to attend an appointment. This time will be given to someone who is in urgent need of treatment.
We ask that you provide a 48-hour notice to avoid a $25 cancellation fee for appointments rescheduled in under 48-hours’ notice.
Deposit and Cancellation Fee Structure:
For checkups, exams, regular and/or comprehensive hygiene appointments we may require a deposit of $50.
For dental treatments that are considered minor to moderate we may require a deposit of $50 (or the full cost of the treatment, whichever is lower).
For dental treatments that are considered major and/or require advanced procedures, we may require a deposit amounting to half the cost of the total treatment.
For specialist appointments (such as implants, specialty endodontics, specialty pedodontics, specialty oral surgery, or any other procedure requiring a specialist) the deposit required may vary from specialist to specialist, dependent on the stage of the treatment and type of appointment. Full details will be given throughout the treatment plans.
Late Cancellation Fee for Pre-paid or On-going Treatments:
Some appointments do not have a charge – for example, if a patient has pre-paid for clear braces and it is a regular fit, or for some review appointments. However, late cancellations or no-shows still leads to a loss of chair-time just like a paid appointment would. For these appointments we reserve the right to apply a late cancellation fee of $25 to your account, which will need to be settled before additional or rescheduled appointments can be booked.
